What is the Virtual Dean’s Office?

The Virtual Dean’s Office is a university IT system that allows students to remotely access information about their academic progress, view announcements, check grades, complete anonymous course evaluations, and more.

Accessing Your Account

To access your account in the Virtual Dean’s Office, you need to log in to the student account.

The login can be:

  • The email address provided during IRK registration
  • The student ID number (information on this can be obtained from the Dean’s Office)

The password is set by the user using the “Forgot/Activate Password” button.

First-time Login Procedure

1. Go to the website https://wd.up.lublin.pl/
2. Click the “Forgot/Activate Password” button in the login window
3. Enter the email address from IRK in the first field and re-enter the same email address in the second field
4. A password change link will be sent to the provided email address
5. Use this link to set a password that includes a special character, a number, and an uppercase letter
6. After setting the password, you can log in to the Virtual Dean’s Office

Information for foreigners applying for a temporary residence permit in Poland

A foreign who wishes to stay in Poland longer than allowed by their current residence title
should submit an application for a temporary residence permit to the Lubelskie Voivodeship, these matters are handled by the
Lubelskie Voivodeship Office in Lublin, Department of Civil Affairs and Foreigners.

Electronic application through MOS

As of 27 April 2026, applications for a temporary residence permit, permanent residence permit
and long-term EU resident permit must be submitted only electronically through the
MOS system:

Paper applications that did not reach the voivodeship office before 27 April 2026 will not be processed.

Legal basis

The legal basis for a temporary residence permit for the purpose of studies is
Article 144 of the Act of 12 December 2013 on Foreigners.
Such a permit may be granted if the purpose of the foreigner’s stay in Poland is to begin or continue studies and if the statutory requirements are met, in particular those concerning study-related documents, health insurance and sufficient financial means.

The application must be submitted no later than on the last day of the foreigner’s legal stay in Poland.

University attachment in MOS

For a temporary residence permit for the purpose of studies, the MOS system requires an attachment completed and electronically signed by the institution conducting the studies. When completing the application, the student will be asked to provide the university’s e-mail address to which MOS will send a link to the attachment.

Students of this unit must provide only the following e-mail address:

mos.medwet@up.edu.pl.

No other e-mail addresses of employees or organisational units should be used, as this may prevent proper confirmation of student status and completion of the application process.

Until the university completes and signs the attachment, the application remains pending in the MOS system and cannot be signed or submitted to the office. Once the university signs the attachment, the application status will change and the foreign national will be able to sign and submit the application.

Submission of the application

The application in the MOS system must be completed, electronically signed and submitted. The application is considered effectively submitted only when it has been signed and sent. After submission, the applicant should download the Official Confirmation of Receipt (UPO), which confirms that the application has been filed.

When is the stay legal?

A foreigner’s stay in Poland is legal when the foreigner holds a valid residence title, such as a visa, temporary residence permit, permanent residence permit, long-term EU resident permit, or stays under visa-free travel rules. A valid passport is also required for legal stay.

In simple terms: if a foreign national submits a correct application while their stay is still legal, and the application has no formal defects or the defects are corrected within the required deadline, their stay in Poland is considered legal from the date of submission until the decision on the temporary residence permit becomes final. This follows from Article 108 of the Act on Foreigners.

After the application is formally verified, the voivode will generate a certificate in the MOS system confirming the legality of stay while the applicant is waiting for the decision. Please note that such confirmation of legal stay in Poland does not authorise the foreigner to cross the border.

Fees

According to the information provided by the Lubelskie Voivodeship Office, the fee for submitting an application for a temporary residence permit for studies is PLN 340, and the fee for issuing a residence card for students is PLN 50.
