Erasmus+

Students can carry out two types of mobilities for studies: 

  • Long-term mobility for studies (at least 2 months of physical mobility) 
  • Short-term mobility for studies with a virtual component (from 5 to 30 days of physical mobility) 

 

The calls for mobilities for studies will be announced accordingly:  

  • for winter semester and the full academic year – from January 8, 2024 to March 25, 2024 
  • for summer semester – the date will be announced soon 

 

Studies abroad, if completed successfully, are treated as an integral part of study period at home university and recognised successfully after the mobility. 

  • Who is entitled to mobility for studies?

    • 1st, 2nd , 3rd cycle students (both full-time and part -time students) provided that they have completed the first year of their 1st cycle studies before the mobility takes place 
    • Students with a high level of language competence 
    • Students achieving good academic results  
  • What are the minimum time requirements?

    LONG-TERM MOBILITY 

    The mobility for studies can last from 2 to 12 months. 

    Most often, it is one semester, i.e. a period of study that can be easily completed.  The scholarship will be awarded for such a period. It is possible to extend your stay up to 1 year within the same academic year. 

    SHORT-TERM MOBILITY 

    It can last from 5 to 30 days of physical mobility. A virtual component, either before or after the physical mobility, is obligatory. 

    Short-term mobilities for studies are mainly organised by host universities in the form of Blended Intensive Programme (BIP). BIPs are announced in the news HERE 

    Each student is entitled to 12 months of Erasmus mobility (any type, any combination: for studies or/and for traineeship) within 1 study cycle. 

    One-cycle Master’s degree students (in this case veterinary students) are entitled to 24 months of Erasmus mobility (any type, any combination: for studies or/and for traineeship) within their whole study period. 

  • What is the scholarship amount?

    LONG-TERM MOBILITIES 

    A monthly scholarship for academic year 2024/2025 depends on the mobility destination:  

    Participating countries:  

    Group I: 670 EUR  Denmark, Finland, Iceland, Ireland, Liechtenstein, Luxembourg, Norway, Sweden.  

    Group II:670 EUR Austria, Belgium, Cyprus, France, Germany, Greece, Italy, Malta, Netherlands, Portugal, Spain  

    Group III:600 EUR Bulgaria, Croatia, Czech Republic, Estonia, Hungary, Latvia, Lithuania, North Macedonia, Poland, Romania, Serbia, Slovakia, Slovenia, Türkiye 

     

    SHORT-TERM MOBILITIES 

    • 79 EUR / DAY (from the 1st do the 14th day of physical mobility) 
    • 56 EUR / day (from the 15th to the 30th day of physical mobility) 

    NOTE! 

    Individual support (scholarship) is not intended to cover all the costs related to travel and stay abroad. A student/PhD student may use the scholarship to cover part of the costs of insurance, accommodation, and other expenses related to the stay in the receiving country. 

    During the Erasmus+ mobility period, the student/PhD student cannot receive another scholarship financed by European Union funds  

    Erasmus+ scholarship will be paid to the student/PhD student only for the period of physical mobility. 

    Students/PhD students during Erasmus+ mobility period are still entitled to student rights at ULSL, in particular the rights to university scholarships they have acquired before the start of their mobilities. 

     

    Students with fewer opportunities (students who receive a social scholarship issued by University of Life Sciences in Lublin and students with disabilities) may receive additional support. You will find more information in the section STUDENTS WITH FEWER OPPORTUNITIES 

  • What are ULSL partner universities?

    You can carry out your mobility in any foreign University in Europe with a valid Erasmus Charter.

Mobility documents for academic year 2024/2025 

 

Please, send all these documents via email to Erasmus office to be corrected before you send them to the receiving institution. 

 

  • Agreement card SMS (a document in which a student and a faculty coordinator agree on the list of courses to be completed at the receiving institution and recognised after the mobility. Make sure to choose the courses that most closely correspond with the ones at your sending institution).  
  • Insurance coverage and European Health Insurance Card (EHIC)– your insurance coverage should be valid for the whole mobility period including travel days. 

Your insurance coverage should include at minimum: 

  • Health insurance (the participant undertakes to obtain health insurance coverage valid in the country of traineeship; in another EU country (to obtain European Health Insurance Card), in non-EU countries to purchase a private insurance corresponding in scope to European Health Insurance). 
  • Accident insurance (covering at least damages caused to the student at the place of traineeship/studies)
  • Liability insurance (covering damages caused by the participant at the place of traineeship/studies) 

The coverage of the European Health Insurance Card or private insurance may not be sufficient, especially in case of specific medical intervention or transport to the country, therefore a complementary private insurance is recommended. In addition to the above, insurance against loss or theft of documents, travel tickets or luggage is recommended. 

 

A mobility participant is responsible for purchasing his/her own insurance policy and submitting it in International Exchange Office not later than one week before the start of mobility period or sent by electronic message (a good-quality scan copy). The copy of the insurance coverage purchased  by the participant is an integral part of this Agreement. 

 

It is mandatory to familiarise himself/herself with the scope of their own insurance policy.  

  • OLS test  result
  • Green travel application – submitted ONLY when travel is planned using low-emission means of transport such as a bus, a train or carpooling)
  • Online Learning Agreement for Studies (OLA) – the document to be filled in online ONLY AFTER the Recognition Card has been accepted by the Faculty Coordinator and submitted to International Exchange Office.

  • MOBILITY EXTENSION

    EXTENSION OF YOUR MOBILITY PERIOD 

    Extension of your mobility period is possible upon the consent of both universities.  

    NOTE! 

    • Your mobility period cannot last longer than one academic year  
    • an additional scholarship for this period is not guaranteed and it depends on the financial allocation 
    • You can apply for this opportunity but NOT LATER than one month before the ending date of your mobility (as previously agreed in your OLA). 

    HOW TO APPLY? 

    1. Contact your Faculty Coordinator and Erasmus office at university of Life Sciences in Lublin for their acceptance 
    2. Make sure that all the extension documents are signed by all parties at least one month before the previously agreed dates of your mobility 

    Extension of your study period without the permission of all parties will not be accepted. 

    THE DOCUMENTS REQUIRED IN CASE OF THE EXTENSION OF STUDY PERIOD: 

    1. AGREEMENT CARD – including the next semester courses that should be consulted with your Faculty Coordinator 
    2. Extension of study period letter– should be addressed to Erasmus + Institutional Coordinator, it should provide the justification for extension and new exact dates of your mobility period. Possible additional funding will be calculated based on the new dates provided. 
    3. APPLICATION FOR EXTENSION OF STUDY PERIOD signed by all parties 

     

    ALL THE DOCUMENTS NEED TO BE SUBMITTED AT INTERNATIONAL  EXCHANGE OFFICE NOT LATER THAN ONE MONTH BEFORE THE PREVIOUYSLY AGREED DATES OF YOUR MOBILITY. 

     

    After the documents are approved by the Faculty Coordinator and the University Coordinator, you will be sent an annex to your grant agreement to be signed.   

  • CHANGES TO LEARNING AGREEMENT

    Upon arrival but not later than within the first month of your mobility, you are allowed to introduce changes into your Learning Agreement for studies (delete, add or change the courses) provided that they are accepted by: 

    • The Faculty Coordinator at ULSL 
    • International Exchange Office at ULSL 
    • The person responsible at the receiving institution 

    THE DOCUMENTS REQUIRED: 

    • AGREEMENT CARD CHANGES (filled in and signed by the student) to be submitted to the Faculty Coordinator at ULSL for signature and sent to International Exchanged Office (a scanned copy) 
    • OLA CHANGES – to be filled in in the system only if the AGREEMENT CARD – CHANGES  has been approved by the Faculty Coordinator 

It is your responsibility to obtain the required AFTER MOBILITY DOCUMENTS from the receiving institution and to submit them in International Exchange Office not later than 2 weeks after the end of your mobility: 

 

  • CONFIRMATION OF STUDY PERIOD – (if the confirmed mobility period is different from the one indicated in your Grant Agreement, the financial conditions of your mobility may change accordingly)  
  • TRANSCRIPT OF RECORDS in English 
  • LEARNING AGREEMENT FOR STUDIES/CHANGES TO LEARNING AGREEMENT FOR STUDIES – if possible for each semester separately and signed by all parties, ONLY if it hasn’t been submitted before  
  • EU-SURVEY – to be submitted online after your mobility  
  • POWERPOINTPRESENTATION with high quality photos (if possible) 
  • A STUDENT STORY IN A WORD FILE– to be published on ULSL Erasmus website and ULSL journal “Aktualności”.  
  • GREEN TRAVEL – AFTER MOBILITY –ONLY if applicable

  • BEFORE MOBILITY

    BEFORE MOBILITY 

    1. Follow the rules and then contact International Exchange Office ( the main Library Building, room 309) if you still have some questions.
    2. Choose the receiving institution from PARTNER UNIVERSITY LIST or find another one from the list HERE. In the latter case contact International Exchange Office to check if signing an Inter-institutional Agreement with this institution is possible.
    3. Visit the receiving institution website to find the following information:
    • The course offer 
    • The language of instruction 
    • Nomination and application deadlines 
    • Application and accommodation procedure 
    • Academic calendar 

    If you don’t find the required information, contact an Erasmus Coordinator or the receiving institution.  

    1. Submit APPLICATION DOCUMENTS – STEP 1 at International Exchange Office 
    2. Upon the acceptance of your application for the mobility of studies at ULSL you will be nominated to the receiving institution(s) listed in your Application form. If accepted by the receiving institution, you will be informed by them of the further procedure. It is the time to contact them directly if you have further questions.  In some cases, it is obligatory to log into the receiving institution internal system. Be aware of the deadlines at the receiving institution not to miss your chance to study there.
    3. Submit MOBILITY DOCUMENTS – STEP 2 at ULSL International Exchange Office
    4. OLS test (Online Language Support test in the language of instruction) – it is recommended but not obligatory to fill in OLS test before your mobility. Upon logging into the EU Academy and submitting the test, the system assesses the level of language proficiency free of charge and, if applicable, qualifies the student for free language courses which can be taken at any time and place during the mobility period. You can also take a course of the language other than your language of instruction.
    5. What to do just before signing a grant agreement for your mobility?
    • Purchase your insurance coverage (details to be found in MOBILITY DOCUMENTS – STEP 2) 
    • Submit an OLS test result at ULSL International Exchange Office (if applicable) 

    Upon signing your grant agreement you will receive: 

    • a document confirming that you are an ULSL student,  
    • a document useful to legalise your stay in a receiving country, 
    • a letter to the Embassy to issue a visa (if applicable) 
    • the 1st instalment of your scholarship (it will be transferred to your bank account in EUR) .  
    1. Students with “fewer opportunities” (students who receive a social scholarship issued by University of Life Sciences in Lublin in the semester preceeding their mobility period and students with disabilities – documents required) will receive an additional individual support allowance in the amount of:
    • 250 EUR /month (a long-term mobility)  
    • 100 EUR from the 5th to the 14th day of the mobility or 150 EUR from the 15th to 30th day of the mobility (a short-term mobility) 
    • ONLY for students with disabilities – it is also possible to apply for additional financing if estimated mobility costs related directly to student’s disability exceed the total scholarship amount granted to the student (including one of the options mentioned above) and it will not be possible to carry out this mobility without additional financing. More details in the section STUDENTS WITH FEWER OPPORTUNITIES. 

     

  • DURING MOBILITY

    DURING YOUR MOBILITY 

    1.Upon arrival at the receiving institution you may want to make changes to your Learning Agreement for studies (delete, add or replace some courses). It is only possible within the first month of your mobility and only if approved by the coordinators of both institutions and ULSL Institutional Erasmus Coordinator. To make it happen, fill in: 

    • AGREEMENT CARD – CHANGES 
    • OLA- DURING MOBILITY -CHANGES TO LEARNING AGREEMENT– only if your Agreement Card has been signed by your Faculty Coordinator  

    Please, inform ULSL International Exchange Office of your OLA changes waiting for our approval in the system. Your new Learning Agreement, if acceptable, will be finalised online by all parties. 

    2.During your mobility, but not later than one month before the end of your mobility that has been decided in your grant agreement, you can decide to prolong your stay for one more semester, only within the same academic year. Your decision needs to be accepted buy: 

    • ULSL Faculty Coordinator 
    • Receiving Institution Coordinator 
    • ULSL Erasmus+ Institutional Coordinator 

    You should submit your application for extension of study period and a separate application to ULSL Erasmus+ Institutional Coordinator. It is not guaranteed that you will be granted an Erasmus+ scholarship for this additional period of studies. 

  • AFTER MOBILITY

     

    BEFORE YOU COME BACK TO ULSL: 

    Try not to leave before you receive: 

    • CONFIRMATION OF STUDY PERIOD –if the study period confirmed in this document is different from the one stated in your grant agreement the scholarship total amount may change accordingly 
    • TRANSCRIPT OF RECORDS issued in English – the list of credits received for the period of studies at the receiving university. The document is necessary to get your semester of studies recognised at the sending university by your dean. NOTE!  The courses enumerated in your Transcript of Records should match the ones included in your Learning Agreement (the last version of your OLA).    

     

    AFTER YOU COME BACK TO ULSL: 

    Remember two submit the following documents within two weeks after you return to Lublin: 

    • TRANSCRIPT OF RECORDS duly signed and stamped by the receiving University 
    • CONFIRMATION OF STUDY PERIOD 
    • LEARNING AGREEMENT (CHANGES) 
    • Fill in and submit EU SURVEY (you will receive a link to this survey at your email address on the last day of your mobility) 
    • MOBILITY REPORT (in Word file) 
    • PHOTOS from your mobility that can be used for promotional purposes 
    • POWER POINT PRESENTATION  

    THE SECOND INSTALLMENT OF YOUR SCHOLARSHIP PAYMENT WILL BE TRANSFERED TO YOUR BANK ACCOUNT ON THE CONDITION THAT YOU HAND IN ALL THE REQUIRED DOCUMENTS. 

    NOTE! 

    If your study period (as documented in your CONFIRMATION OF STUDY PERIOD) is more than 5 days shorter than previously agreed in your grant agreement, the scholarship total amount will be reduced accordingly.
